Who we are
Vaishvik Exports LLP (LLPIN ACW-7074) is a limited liability partnership registered in Kolkata, West Bengal, India. This website is vaishviks.com. Questions about your data are answered by one of the partners at info@vaishviks.com or on +91 86177 98202.
What this site collects
The only personal data this site collects is what you type into the contact form: your name, your company (optional), your country, your email address, your message and, if you tell us, how you found us. On a product page, the form also sends the name of that product, so we know what you are asking about. If you attach a drawing, photo or tech pack, that file travels and is stored the same way as your message. Netlify records the time the form was sent. This site sets no cookies and runs no tracking script; Netlify counts visits from its own server logs, with no cookie and nothing added to the page.
If you write to us another way (by email, WhatsApp or phone, at a trade fair, or through someone who referred you), we keep the same kind of details. While we deal with your enquiry we also keep the name of the person we deal with, a phone number if you give us one, and short dated notes of our emails, calls and messages with you. If you order from us, we also keep your business address and the order, payment and shipping details.
Why we collect it
Only to deal with your enquiry: to reply, to send you a sample or a quote and follow them up, and, if you order, to make, ship and invoice the goods. Before we send a sample or a quote, we check that your company is real and search public sanctions lists for its name. We do not add you to a mailing list and we do not sell or share your details with anyone for marketing.
Who sees it, and where it goes
- The partners of Vaishvik Exports LLP, who read and answer enquiries.
- Netlify, Inc., the US company that hosts this website. The form goes to Netlify, which stores it in the United States and emails it to us. Its privacy policy is at netlify.com/privacy. Netlify says it is certified under the EU-US Data Privacy Framework and its UK extension, and processes our data under its standard data processing agreement.
- Akismet, a spam-checking service run by Automattic Inc., a US company. Netlify passes every submission through it. Akismet says it deletes spam-check data within two weeks to ninety days (akismet.com/privacy).
- Zoho, which provides our email. Your enquiry sits in our mailbox there while we deal with it, and our replies are sent from it.
- Our office records: a private system that only the three partners can sign in to. We copy your enquiry into it and keep our notes there. It is also hosted by Netlify, Inc., which stores it in the United States. It keeps backup copies for 90 days.
- One backup copy of those records, made about once a month and kept in private online storage that only the three partners can open. Each new copy replaces the last.
- WhatsApp, if you message us there or ask us to reply there. WhatsApp is run by WhatsApp LLC (for people in the European Region, WhatsApp Ireland Limited); its privacy policy is at whatsapp.com/legal/privacy-policy.
- If we send you a sample or you order from us: our customs broker, our bank, the courier or freight forwarder, and Indian Customs, who receive what the export papers need: your business name and address, and the goods and their value.
Netlify may keep standard technical logs of visits (such as the address your device connects from). We do not use them to identify you.
How long we keep it
We keep your enquiry, and our notes about it, for twelve months after the last email or message between us about it. Then we delete it from Netlify (the form and our office records) and from our mailbox; backup copies are gone within 90 days after that. If we send you a sample or it turns into an order, the shipping and order papers, and our notes on them, are kept for as long as Indian tax and export law requires. Ask, and we delete it sooner.
Your choices
You can ask us at any time to see what we hold about you, including our notes, and who we have shared it with; to correct it; to delete it; or to stop us using it or messaging you. Write to info@vaishviks.com. We answer within thirty days. If you are not satisfied, you can complain: in India to the Data Protection Board of India once it is taking complaints; in the UK to the Information Commissioner's Office (ico.org.uk); in the EU to your own country's data protection authority. You may also email us instead of using the form.
The law this follows
We are an Indian business, so we follow India's Digital Personal Data Protection Act, 2023, and the Digital Personal Data Protection Rules, 2025, notified in November 2025 with a phased timeline. Under that Act we use your details because you gave them to us for one purpose, dealing with your enquiry; we do not ask for any wider consent. For readers in the UK or EU, our reason in law is that you asked us to reply, a step you requested before any contract, and our legitimate interest in answering business enquiries and in checking who we trade with. This page is the plain-language notice that law expects: what we collect, why, who sees it, how long we keep it, and how to ask us to change or delete it.
Changes
If we change what this site collects, we will change this page and the date at the top.
